Job Description


Functional Role Description:

The Project Assistant assists with project scheduling, budgeting, and administrative tasks, and supports the project staff by facilitating project logistics such as meetings, conference rooms, conference calls, etc. Project Assistants record meeting minutes and action items during meetings and perform basic follow-up. Project Assistants also assist in development of presentations, proposals and other project related activities. In addition, this position is responsible:
  • To collect, organize, maintain, check project documents and perform clerical duties per client policies and procedures.
  • Control the release, storage, tracking, and distribution of project documents.
  • Assist the project management team as required.
  • Provide organizational office management
    • Manage office supplies
    • Assist with meetings
    • Coordinate routine service calls and contracts
    • Mail support (USPS, Fed Ex, UPS, etc…)
  • Provide other office duties as required
Essential Functions:
  • Coordinate drawing and as-built returns to client document control vault (Experience with Marathon GBR EDMS required).
  • Quality check as-builts vs. redlines.
  • Determine if redlines require other drawings to be updated.
  • Assist office management to ensure quality management of the document control system.
  • Manage office logistics per Senior Management
Skills and Qualifications: 
  • High School or Associate degree in business technology or equivalent preferred.
  • 3+ year experience in similar or related Administrative field.
  • Experience with Marathon GBR EDMS required
  • Experience with Microsoft Word, Excel, and Outlook.
  • Understanding of office procedures and document management.
  • Strong organizational and communication skills.

  • The job will generally be performed at a Middough office location but could occur at the Client’s production facility or industrial/construction job site and could last for extended periods of time.
  • May require occasional overnight travel to another client location/facility or the home office.
  • Conditions will vary at each location, but the conditions listed above will generally apply.
  • When working outside Middough’s office, appropriate safety training and safety equipment will be provided by Middough and/or Client, as required.
